Privacy Policy

This Privacy Policy describes how information is collected, used, disclosed, retained, and protected when you access or use The Psych Archive and related account, chat, and subscription services.

1. Scope

This Policy applies to information processed in connection with the website, account features, guest features, AI chat functionality, saved conversations, billing flows, security controls, and related operations. It does not govern third-party websites or services that we do not control.

The service is an educational technology service. It is not a medical, therapy, counseling, or healthcare service, and it should not be used to submit protected health information, privileged information, or other highly sensitive information.

2. Information We Collect

We may collect account information, including name, email address, profile image, authentication provider identifiers, password hashes for email-and-password accounts, email verification records, session records, legal acceptance records, account settings, and subscription status.

We may collect user content and service activity, including prompts, messages, conversation history, saved conversation titles, selected psychologists, usage counters, quota events, plan state, support requests, and interactions with account, billing, and security features.

We may collect technical and device information, including IP address, browser type, device type, pages viewed, referring pages, timestamps, cookies, local storage identifiers, verification tokens, logs, error reports, and anti-abuse or rate-limit signals.

We may receive payment and subscription information from Apple and supported web payment processors, including customer identifiers, subscription identifiers, plan status, invoices, payment status, renewal dates, and billing portal events. We do not store full payment card numbers.

3. Sources of Information

Information may be provided directly by you, generated through your use of the service, stored in your browser, collected automatically by server-side systems, or received from service providers such as authentication providers, AI providers, hosting providers, database providers, security tools, and payment processors.

4. How We Use Information

We use information to provide, operate, maintain, secure, personalize, and improve the service; authenticate users; create and manage accounts; save and restore conversations; generate AI responses; enforce guest and account usage limits; process subscriptions; prevent fraud and abuse; troubleshoot errors; respond to requests; comply with law; and enforce applicable terms.

We may aggregate or de-identify information so it no longer reasonably identifies you and may use such information for analytics, service improvement, security, and operational purposes.

5. AI Processing

Prompts, conversation context, selected psychologist information, and related metadata may be sent to OpenAI or similar AI service providers to generate responses, perform safety checks, improve reliability, and operate the service. AI outputs are generated by automated systems and should not be treated as professional advice.

6. Disclosure of Information

We may disclose information to service providers and contractors that perform services for us, including hosting, databases, authentication, AI processing, payments, analytics or logging, security, verification, email, customer support, and operational tools.

We may disclose information when required or permitted by law, legal process, or governmental request; to protect rights, safety, security, and service integrity; to investigate fraud, abuse, or violations; to enforce terms; or in connection with a merger, acquisition, financing, reorganization, bankruptcy, asset sale, or similar transaction.

7. Cookies, Local Storage, and Similar Technologies

We use cookies, local storage, and similar technologies for authentication, session management, guest chat continuity, preferences, usage limits, fraud prevention, bot verification, security, debugging, and service operation. If you disable these technologies, portions of the service may not function correctly.

8. Retention

We retain personal information for as long as reasonably necessary to provide the service, maintain accounts, preserve saved conversations, process subscriptions, comply with legal obligations, resolve disputes, enforce agreements, prevent abuse, maintain security, and support legitimate operational purposes.

Guest conversation data may remain in your browser unless cleared by you or overwritten by browser settings. Signed-in conversation data may remain associated with your account unless deleted through available controls or removed as part of an account deletion request, subject to lawful retention needs.

9. Security

We use administrative, technical, and organizational safeguards designed to protect information, including hashed passwords for email-and-password accounts, server-side secrets, access controls, encrypted transport where supported, signed session cookies, logging, and operational monitoring. No method of transmission or storage is completely secure.

10. Your Choices and Rights

Depending on your location, you may have rights to request access, correction, deletion, portability, restriction, or objection regarding certain personal information. You may also have the right to withdraw consent where processing is based on consent.

Signed-in users may use available account controls to export data, manage billing, or request account deletion. Guest users may clear browser storage to remove local guest data. Requests may also be sent to the contact address below.

11. Children

The service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, you may contact us to request deletion.

12. International Users

Information may be processed and stored in the United States or other locations where we or our service providers operate. By using the service, you understand that information may be transferred to jurisdictions that may have different data protection laws than your location.

13. Changes to This Policy

We may update this Policy from time to time. Updated versions are effective when posted unless a later effective date is stated. Continued use of the service after an updated Policy becomes effective means the updated Policy applies to your use of the service.
